What a Defensible Supplement File Actually Looks Like
A supplement file that holds up under carrier dispute isn’t just a list of line items the carrier missed. It’s a structured document where every disputed item has three things: the correct Xactimate line item at the current local matrix price, documentation of why the item is owed, and a note that directly addresses the basis a carrier would use to deny it.
That last part is what most supplement files are missing. When a carrier denies a line item, they have a reason – even if it’s a thin one. A supplement that just reasserts the line item without addressing that reason gets the same denial. A supplement that anticipates the carrier’s basis and documents why it doesn’t apply forces the carrier to find a different reason – or approve the item.
